Manual method

Preserve selected Notes as readable PDFs or Markdown files using the Mac app.

  1. Open Notes on Mac and allow the relevant account to sync.
  2. Select a note, then File → Export To → PDF or Markdown where your macOS version offers it.
  3. Save into a folder reflecting the original Notes folder; repeat for each chosen note.
  4. Inspect attachments and save important originals separately when the exported rendition does not retain usable copies.

Coverage and limitations: This is a per-note route, not a documented one-click whole-library export. Older macOS releases may offer PDF only. Check locked notes, scans, collaboration, links and attachment behavior rather than assuming restoration of every note and attachment.

Size and time to allow

Illustrative small / central / large case: 0.01 / 1 / 20 GB (decimal GB). These are planning assumptions, not a measured average per person. 1 GB models hundreds of notes plus scans and images. Mostly typed text is far smaller; PDF scans and recordings drive growth.

Preparation: No service queue, but manual effort scales with note count: estimate 15–30 seconds per note, so 200 notes can mean 50–100 minutes before checking attachments.

For the central 1 GB example, network transfer alone is approximately:

Connection Estimated transfer
10 Mbps 19.0 minutes
50 Mbps 3.8 minutes
100 Mbps 1.9 minutes

Assumes 70% sustained use of the stated connection. Provider throttling, many small files, retries, local extraction and copying add time. For online backup use your upload speed. These are not estimates of the provider’s preparation queue. See calculation and large-file advice.

Store and verify the archive

An encrypted external drive is a practical main archive; a USB key can carry a copy if it has sufficient free space. Keep an additional encrypted copy on another device or private online backup, outside the source account’s sync folder.

Create apple_notes/YYYY-MM-DD/originals/, preserve the untouched download, and extract a separate working copy when needed. Allow extra free space for archive plus extraction; compressed text can expand far beyond twice its size. Record account/scope, export date, date coverage and missing items in a local README without passwords.

Open multi-page scans and rich notes, test links offline and compare the exported note list with the source folder. Reopen a sample from the second copy before deleting or replacing any source. Storage choices and verification.
