Manual method
Collect available clinical documents from each healthcare provider. There is no universal patient-portal export button.
- List the hospitals/clinics and date ranges you want, then open each provider’s official portal.
- Look for Download record, Document Center or medical-record requests. In the cited Institute for Family Health MyChart example: Health → Document Center → Visit Records.
- Choose the relevant visits/date range, request the download and save the resulting PDF/ZIP.
- Ask the provider’s records department for material not available online, specifying dates and desired electronic format.
Coverage and limitations: Portal availability, identity checks and record coverage differ by institution/country. A summary may exclude older records, imaging, outside-provider results or clinician notes. The cited workflow is a named example, not a universal MyChart configuration.
Size and time to allow
Illustrative small / central / large case: 0.01 / 0.5 / 10 GB (decimal GB). These are planning assumptions, not a measured average per person. 500 MB models years of PDFs and scans without large imaging studies; imaging is estimated separately.
Preparation: The cited example says downloads can take several hours. For a manual records request, ask the provider for its expected delivery date; no universal deadline is claimed.
For the central 0.5 GB example, network transfer alone is approximately:
| Connection | Estimated transfer |
|---|---|
| 10 Mbps | 9.5 minutes |
| 50 Mbps | 1.9 minutes |
| 100 Mbps | 57 seconds |
Assumes 70% sustained use of the stated connection. Provider throttling, many small files, retries, local extraction and copying add time. For online backup use your upload speed. These are not estimates of the provider’s preparation queue. See calculation and large-file advice.
Store and verify the archive
The example is small enough for an encrypted USB key, external drive or private cloud folder. Choose a second independent copy as well; a single USB key is easy to lose and a sync folder alone can propagate deletion. For health records, restrict access and avoid shared-family/public-link destinations; keep encryption recovery information separately.
Create patient_portals/YYYY-MM-DD/originals/, preserve the untouched download, and extract a separate working copy when needed. Allow extra free space for archive plus extraction; compressed text can expand far beyond twice its size. Record account/scope, export date, date coverage and missing items in a local README without passwords.
Check name, provider, encounter dates and page counts. Keep a gap list and preserve the provider’s original documents without editing their clinical content. Reopen a sample from the second copy before deleting or replacing any source. Storage choices and verification.
Sources and review
Public documentation was reviewed on 27 October 2026. No signed-in export or restoration was performed. Account options and availability can change; follow the current provider instructions.
