Manual method

Download files you can access in OneDrive. A file download is not a full Microsoft account or SharePoint tenant export.

  1. Sign in to OneDrive on the web and open My files or the authorized folder.
  2. Select files or folders, choose Download, and save the resulting files or ZIP outside the live OneDrive sync folder.
  3. For a large collection, download bounded folders separately and record completed batches.
  4. Extract each ZIP and inspect any text/error files before marking the batch complete.

Coverage and limitations: Microsoft documents a 250 GB file limit and 10,000-file limits for batch downloads, with additional compressed-file restrictions. OneNote notebooks need their own export. Work/school permissions and protected files can limit downloads.

Size and time to allow

Illustrative small / central / large case: 1 / 25 / 250 GB (decimal GB). These are planning assumptions, not a measured average per person. 25 GB represents a personal documents-and-scans collection with some media; it is not the storage allowance or a measured average.

Preparation: Small downloads normally begin after selection; allow several minutes for large ZIP preparation as an estimate, plus transfer. No fixed preparation SLA is assumed.

For the central 25 GB example, network transfer alone is approximately:

Connection Estimated transfer
10 Mbps 7.9 hours
50 Mbps 1.6 hours
100 Mbps 47.6 minutes

Assumes 70% sustained use of the stated connection. Provider throttling, many small files, retries, local extraction and copying add time. For online backup use your upload speed. These are not estimates of the provider’s preparation queue. See calculation and large-file advice.

Store and verify the archive

An encrypted external drive is a practical main archive; a USB key can carry a copy if it has sufficient free space. Keep an additional encrypted copy on another device or private online backup, outside the source account’s sync folder.

Create onedrive/YYYY-MM-DD/originals/, preserve the untouched download, and extract a separate working copy when needed. Allow extra free space for archive plus extraction; compressed text can expand far beyond twice its size. Record account/scope, export date, date coverage and missing items in a local README without passwords.

Check that online-only entries became real files and that important documents open without signing into the source account. Reopen a sample from the second copy before deleting or replacing any source. Storage choices and verification.
