Choose the right action
There are three different jobs: delete messages, remove the Gmail service, or close the whole Google Account. This guide covers the first two. Use the Google account guide for whole-account closure.
Archiving removes messages from the inbox but keeps them in the mailbox. Moving mail to Trash starts a different process. Read the selected message count before using a bulk action, especially when conversation view groups several messages together.
Before you start
If you want an archive, follow the Gmail download guide and check the saved copy. You can skip preservation if that is your choice. Make a separate list of messages needed for current disputes, bookings or account recovery so you can select deliberately.
For work or school mail, ask the administrator about retention and legal holds. Deleting your own visible copy does not determine what the organization must keep. Messages you sent may also remain with recipients.
On a phone
For selected mail, open Gmail and check the account icon. Select the intended messages, then use the bin/delete control. Review the selection before applying it to a group. Open Trash from the mailbox menu if you need to recover a message or deliberately remove it permanently.
For Gmail service removal, use your phone's browser and Google Account: Data & privacy. Follow the service-removal steps below; uninstalling Gmail is not the same action.
On a computer
- Open Gmail and confirm the mailbox.
- Search or browse to the messages you intend to remove. Select them and inspect the count. A page selection and an entire search-result selection may cover different amounts of mail.
- Choose Delete to move the selection to Trash.
- If you want permanent removal now, open Trash, select the exact messages and choose Delete forever. Use Empty Trash now only if you intend to remove everything in the bin.
Gmail normally deletes messages left in Trash after 30 days. Permanent deletion cannot be undone through Trash. A deleted draft is a special case: do not expect it to be recoverable there. Open Google's message-deletion help if a control is missing.
Remove Gmail but keep your Google Account
- Open Data & privacy and find Data from apps and services you use.
- Choose Delete a Google service and select the delete control beside Gmail.
- Supply a different existing email address for signing in to the remaining Google Account.
- Open the verification email at that address and follow Google's confirmation. The service removal is not complete until the required verification is finished.
Before confirming, update every service that sends sign-in links or recovery mail to your Gmail address. Keep a working contact for SEED and for outstanding deletion requests elsewhere.
What happens next
Check the result appropriate to your action: selected mail removed, Trash cleared, or Gmail service removed. A successful message cleanup says nothing about contacts, Drive files, Photos or other Google products. Removing an app's access to Gmail also does not delete information it previously received.
If something goes wrong
Recover accidentally trashed messages before they are permanently removed. For lost access, use Google Account recovery. Do not repeatedly empty bins while troubleshooting an unclear synchronization state.
Keep a record
Save the action, mailbox, date and relevant confirmation without including private message contents in a general support ticket. If a company reports that data must remain, record the category and reason separately from the visible mailbox result.
